The Student Quality Circle (SQC) of Khwopa College of Engineering organized a comprehensive workshop on Effective Meeting and Minuting on 28th Baisakh, 2082. The workshop was designed to build the capacity of newly appointed SQC members in conducting well-structured meetings and preparing accurate and purposeful minutes. The session was facilitated by Advocate Anita Jadhari, Principal of Khwopa College of Law, whose expertise in legal procedures and administrative communication provided valuable insights for the participants.
The first session focused on the fundamentals of organizing effective meetings. Ms. Jadhari discussed the importance of setting clear agendas, ensuring inclusive participation, and maintaining time discipline. She highlighted common obstacles—such as lack of preparation, dominance by a single speaker, or deviation from the agenda—that often reduce the productivity of meetings. Her emphasis on teamwork, shared responsibility, and respectful communication set the tone for the day.
In the second part of the workshop, students were divided into departmental groups and tasked with conducting mock meetings on the theme of proposing non-credit courses for their departments. Each group appointed a coordinator and a secretary, held structured discussions, and prepared meeting minutes. They then presented their outcomes, receiving detailed feedback from Ms. Jadhari. She also introduced the standard format for minute writing in the Nepali language and explained its role as an official record of institutional decisions and actions.
To enhance practical understanding, participants completed hands-on exercise—drafting both a minute and a circular on chart paper based on a new scenario. This interactive approach allowed them to apply their learning and improve their communication skills in real time.
The workshop concluded with a warm vote of thanks to Ms. Jadhari with a token of appreciation, and certificates were distributed to all participants. The session proved to be an enriching experience, instilling a deeper understanding of professionalism, accountability, and effective documentation among the student members.
